Putting a shift out
A shift belongs to a placement, so it inherits the worker, the client and the rates without anybody choosing them again. Only hourly placements can carry a rota, because a shift is hours and a daily placement bills in day units.
Each shift carries a start, a finish, an unpaid break in minutes, and optionally a ward, unit or site. Paid minutes are the span less the break, which is the same arithmetic an hourly week uses.
The night shift rule
This is the rule everything else hangs on. It decides which week the shift lands in, which decides which timesheet it becomes, which decides which AWR week it counts towards. Splitting a night shift across two days would put half of somebody's Sunday night into the following week and quietly move an AWR qualifying week with it.
Accept, decline, worked
A shift put out sits at OFFERED. The worker answers from their portal: ACCEPTED or DECLINED. The desk marks an accepted shift WORKED once it has been, or cancels it.
The record of who was asked, what they answered and when is kept, because on shift work the question after an incident is usually "who was on, and who agreed to be".
Building the week
Worked shifts become the week's timesheet. Building rewrites the draft week from the rota rather than appending to it, so building twice does not double the hours, and it refuses once the sheet has left draft. Split shifts on one date sum into a single entry for that day.
From there the week is an ordinary timesheet: submitted to the client contact, approved, and billed on both sides.
A week built from a rota
The demo agency runs a care rota. Put a shift out, accept it from the member portal, mark it worked and build the week.
